At Kiely Plumbing, protecting your privacy is part of doing the job properly. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have. We manage personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
Depending on how you deal with us, we may collect:
- Contact and identity details — your name, address, email, phone number, and for business customers your ABN and trading details.
- Job and property information — details about your property and plumbing systems, job notes, quotes, invoices, service history, and photos or CCTV footage of the work area (including before-and-after photos of our work).
- Payment information — payment details needed to process transactions. Card payments are processed through secure, PCI-compliant payment providers. We do not store raw card numbers in our own systems.
- Communications — emails, SMS, web enquiries, social media messages, and recordings of phone calls (see “Phone recordings” below).
- Website data — technical information collected when you use our website, such as device type, pages visited and general location, via cookies and analytics (see “Cookies and analytics” below).
- Employment information — if you apply to work with us, the information in your application.
We collect information directly from you wherever possible — in person, by phone, through our website, by email or SMS, or through our booking system. Sometimes we receive information from third parties such as real estate agents, strata or property managers, builders, insurers, or a person who books work on your behalf. If you give us personal information about someone else (for example a tenant), please make sure they know about this policy.
Why we collect it
We collect and use personal information to:
- provide, schedule and manage our plumbing, drainage, roofing and gas fitting services;
- prepare quotes, invoices and compliance documentation;
- communicate with you about bookings, jobs, warranties and follow-up service;
- process payments and manage accounts, including assessing credit for business trade accounts and recovering overdue amounts;
- maintain records we are required to keep by law (including plumbing compliance records);
- improve our systems, service quality and team training; and
- let you know about our services and offers, if you haven’t opted out.
AI and automated systems
We use artificial intelligence and automated software to help manage enquiries, bookings, job notes, quotes, invoices, customer communication, reporting, training and business operations. This means customer, job and communication data may be processed by AI-enabled tools for these business purposes. We choose reputable providers, limit the data shared to what the task needs, and we do not sell customer data to anyone.
Who we share it with
We share personal information only as needed to run the business:
- our team members, and licensed subcontractors or consultants working on your job;
- service providers who support our operations — such as software platforms (job management, accounting, communication), IT support, bookkeeping and debt collection;
- payment providers, to process your transactions;
- manufacturers or suppliers, where needed for warranty claims on goods we’ve supplied;
- insurers, lawyers and advisers where reasonably necessary; and
- courts, regulators or government agencies where required by law.
We do not sell, trade or rent your personal information to anyone.
Overseas disclosure
Some of the software platforms we use — including cloud storage, communication tools and AI-enabled systems — store or process data on servers located overseas, including in the United States. Where this happens, we take reasonable steps to ensure providers handle personal information consistently with Australian privacy law.
Marketing and your choices
With your consent, or where you’re an existing customer and haven’t opted out, we may send you service reminders, offers and updates by email, SMS or mail. Every marketing email and SMS includes an unsubscribe option. You can also opt out at any time by emailing admin@kielyplumbing.com.au or calling (03) 6431 6992, and we will action it promptly. Opting out of marketing doesn’t affect service communications about your bookings or jobs.
Phone recordings
We record incoming and outgoing phone calls for training, quality and record-keeping purposes. You’ll hear a notice at the start of inbound calls, and our team will let you know on outbound calls. If you’d prefer not to be recorded, tell us and we’ll stop the recording and continue helping you. Recordings are stored securely and handled in accordance with this policy and the Listening Devices Act 1991 (Tas).
Job photos
We photograph our work — including before-and-after shots — for job records, compliance and sometimes marketing. Marketing photos won’t identify your address, and we won’t include people in marketing images without their consent. If you’d like a photo of your property taken down from our website or social channels, contact us and we’ll remove it.
Cookies and analytics
Our website uses cookies and similar technologies for basic functionality and to understand how visitors use the site (for example, via analytics tools). Some cookies support advertising measurement and remarketing. You can control or delete cookies through your browser settings; the site will still work with non-essential cookies disabled.
How we protect and keep your information
We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification or disclosure — including secure systems, access controls and staff training. We keep customer and job records for at least seven (7) years to meet our tax, warranty and plumbing-compliance obligations. When personal information is no longer needed, we take reasonable steps to destroy or de-identify it.
Access and correction
You can ask for a copy of the personal information we hold about you, and ask us to correct anything that’s inaccurate, out of date or incomplete. Email admin@kielyplumbing.com.au and we’ll respond within a reasonable time. We don’t charge for making a request; if providing copies involves significant work we may charge a reasonable administrative fee, which we’ll tell you about first. We may need to verify your identity before releasing information.

We take privacy complaints seriously and will respond within a reasonable time (usually within 30 days). If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.
Changes to this policy
We review this policy from time to time to reflect new laws, technology and changes to our operations. The current version will always be published on our website, with the “last updated” date above.
